To strengthen its operational foundation and continue this important work, FAO Kenya is recruiting an Operations Assistant to join the FAO Representation in Kenya.
Reporting Structure
You will report to the FAO Representative in Kenya, with direct supervision provided by the Operations Officer.
What You Will Do
Your primary responsibility is supporting the effective delivery of FAO Kenya's program activities through streamlined operational processes, sound financial management, and quality administrative services. You will ensure all work adheres strictly to FAO policies and procedures while leveraging corporate systems and tools to facilitate successful project implementation.
Your focus areas will include operational project support, financial and budget administration, corporate systems management, procurement and logistics coordination, project expenditure tracking and reporting, travel management, and interdepartmental coordination.
Specific responsibilities include raising purchase requisitions and managing the complete hiring cycle for both national and international affiliate staff. You will develop and review Terms of Reference for affiliate workforce while ensuring compliance with established standards and regulations. You will coordinate publication of recruitment calls, manage candidate dissemination processes, and handle administrative duties including consultant fee documentation and payment recording.
In the Global Resource Management System, you will oversee full contract management for national and international affiliates, verifying and collecting all required documentation. You will map project expenditures within FPMIS through close coordination with result area Programme Assistants and Operations Specialists, ensuring timely and accurate financial tracking. Additional responsibilities include creating entity numbers and concept notes in FPMIS, preparing accounting adjustment requests, raising travel authorization requests, processing travel expense claims, and supporting other operational duties as needed.
All work must maintain alignment with FAO standards, guidelines, and communication protocols, with coordination through the relevant oversight bodies as required.
